This Cookie Policy explains how Sentrios (“Sentrios”, “we”, “our”, or “us”), a company registered in Copenhagen, Denmark, uses cookies and similar tracking technologies when you visit sentrios.dk (the “Website”).

We are subject to Danish law, European Union law, the EU ePrivacy Directive (2002/58/EC as amended by 2009/136/EC), and Regulation (EU) 2016/679 (the General Data Protection Regulation, “GDPR”). This policy is written to satisfy the transparency requirements of both instruments.

1. What Are Cookies?

Cookies are small text files that a website places on your device (computer, tablet, or smartphone) when you visit it. Where analytics cookies assign a unique identifier to your browser, that identifier is treated as pseudonymous personal data under the GDPR. We do not attempt to re-identify individual users from analytics data and we do not share raw analytics identifiers with third parties for advertising purposes.

2.3 Third-Party Service Cookies

We embed one third-party service on the Website that may set its own cookies or local storage entries: Formspree, a form processing service operated by Formspree, Inc. (United States). Formspree processes the data you submit via our contact form. When you interact with the contact form, Formspree may set session-level cookies or use local storage to support form state, prevent spam submissions, and ensure the reliable delivery of your message.

Because Formspree is operated by a US-based entity, submission of your contact form data involves a transfer of personal data to a country outside the European Economic Area (“EEA”). This transfer is governed by Standard Contractual Clauses (SCCs) approved by the European Commission, or another appropriate safeguard as specified in Formspree's Data Processing Agreement. Third-party cookies set by Formspree when you use the contact form are governed by Formspree's cookie policy, not this one. We do not control those cookies and we are not responsible for the content of Formspree's policies. However, we only activate the Formspree form component on the Contact page; if you do not visit or use the contact form, Formspree does not set cookies on your device through our Website.

3. Cookies Currently in Use

The table below lists the specific cookies we are aware of being set on this Website, their purpose, their duration, and their category. We review and update this table whenever we introduce new cookies or retire existing ones.

Note on Google Analytics IP anonymisation: We have configured Google Analytics with IP anonymisation enabled. This means the last octet of your IP address is masked before the data is stored, reducing the precision of geolocation data and helping to ensure the processed data is pseudonymous rather than directly identifying. Google Analytics processes data on servers operated by Google LLC, which may be located outside the EEA. This transfer is covered by Standard Contractual Clauses between Google and Sentrios. 4. Legal Basis for Cookie Processing

Our legal bases for processing personal data via cookies are as follows:

• Essential cookies: Legal basis: our legitimate interests in operating a functional, secure website (Article 6(1)(f) GDPR), and the ePrivacy Directive exemption for cookies that are strictly necessary to provide a service explicitly requested by the user. No consent is required for these cookies.
• Analytics cookies: Legal basis: your consent (Article 6(1)(a) GDPR and ePrivacy Directive Article 5(3)). Analytics cookies are only placed after you have affirmatively accepted them through our cookie consent banner. If you do not consent, or if you withdraw consent, these cookies are not set and the associated analytics scripts are not loaded.
• Third-party service cookies (Formspree): Legal basis: your consent combined with the performance of a contract or pre-contractual steps when you choose to submit the contact form (Article 6(1)(a) and Article 6(1)(b) GDPR). Formspree cookies are only encountered when you voluntarily use the contact form. By submitting the form you are explicitly requesting that service.

Where we rely on consent, you have the right to withdraw it at any time without affecting the lawfulness of processing carried out before withdrawal.

5. How to Manage and Withdraw Consent

You have several options for controlling cookies on this Website and on the web generally.

5.1 Our Cookie Consent Banner

When you visit the Website for the first time, a cookie consent banner will appear. You can accept all non-essential cookies, decline them, or, where we offer granular controls, accept only specific categories. Your choice is stored in the sentrios_cookie_consent cookie so that we remember your preference for up to 12 months. You can revisit and change your preference at any time by clearing that cookie or using the “Manage cookies” link in the Website footer.

5.2 Browser Settings

Every major web browser allows you to control cookies through its settings. You can typically instruct your browser to refuse all cookies, accept only first-party cookies, or prompt you before a cookie is stored. Instructions for the most common browsers are available at:

5.3 Opt-Out Tools Provided by Third Parties

You can opt out of Google Analytics tracking across all websites by installing the Google Analytics Opt-out Browser Add-on, available at tools.google.com/dlpage/gaoptout. This add-on instructs the Google Analytics JavaScript to prohibit sending information to Google Analytics.

You can also use the Your Online Choices tool provided by the European Interactive Digital Advertising Alliance (EDAA) at youronlinechoices.eu to opt out of interest-based advertising cookies from participating networks. This Website does not currently use advertising cookies, but the tool may be useful to manage cookies set by third parties across other websites you visit.

6. Data Retention

The retention period for each cookie is listed in the table in Section 3. In general:

• Session cookies are deleted automatically when you close your browser tab or window.
• Persistent first-party cookies (such as our consent cookie) expire after 12 months from the date they are set, or sooner if you delete them through your browser or our cookie preference controls.
• Google Analytics persistent cookies expire after a maximum of 24 months. Aggregated analytics data may be retained in our Google Analytics account for up to 14 months from the last activity date, after which it is automatically deleted from Google's servers.

You can delete any cookie at any time using your browser's “Clear browsing data” or equivalent function. Doing so will remove the stored data from your device immediately, regardless of the cookie's stated expiry.

7. Your Rights Under GDPR

To the extent that the data collected through cookies constitutes personal data under the GDPR, you have the following rights as a data subject:

• Right of access: you may request a copy of the personal data we hold about you.
• Right to rectification: you may request correction of inaccurate personal data.
• Right to erasure: you may request deletion of your personal data in certain circumstances.
• Right to restriction of processing: you may request that we limit how we use your data in certain circumstances.
• Right to data portability: you may request that we provide your data in a structured, machine-readable format where technically feasible.
• Right to object: you may object to processing based on our legitimate interests, including the use of analytics.
• Right to withdraw consent: where processing is based on consent, you may withdraw it at any time without affecting the lawfulness of prior processing.

In complex cases or where we receive a high volume of requests, we may extend this period by a further two months and will notify you accordingly.

8. International Data Transfers

Sentrios is based in Denmark and, where possible, we process data within the European Union. However, two of our third-party service providers, Google (for Google Analytics) and Formspree, are headquartered in the United States and may process data on servers outside the EEA.

Any such transfers are protected by one or more of the following safeguards in accordance with Chapter V of the GDPR:

• Standard Contractual Clauses (SCCs) as approved by the European Commission under Commission Implementing Decision (EU) 2021/914.
• Supplementary technical measures, such as IP anonymisation for Google Analytics, which reduce the personal nature of the data transmitted.

9. Changes to This Cookie Policy

We may update this Cookie Policy from time to time to reflect changes in the cookies we use, changes in law, or changes in our business practices. When we make material changes, we will update the “Last updated” date at the top of this page. Where required by law, we will also notify you through the cookie consent banner or by other appropriate means.

We encourage you to review this policy periodically to stay informed about our use of cookies. Your continued use of the Website after we post changes constitutes your acknowledgement of those changes, except where fresh consent is legally required.
